ROLE’S MISSION
QHSE Administrator drives multi-site ISO9001 certification and maintenance, ensures ongoing compliance with QHSE standards, and masters key QHSE responsibilities. This role requires a proactive approach in developing tools, processes, & systems, along with exceptional research, documentation, and project management skills.
DESIRED OUTCOMES
- Develops and uses tools, processes, and systems to achieve and maintain multi-site ISO9001 certification in 2025 and the following five years.
- Maintain Compliance to QHSE standards and prepare, maintain & facilitate all internal and third-party audits.
- Masters QHSE responsibilities, including company form setups, 8D reports, PPAP, IMDS, and SDS.

THE ROLE

So, what will you be doing?
You’ll collaborate closely with the technical, quality, and business development teams on qualification projects aligned with the VDA standard, serving as a liaison between internal and external stakeholders. Furthermore, you’ll assist the Operations Manager in mapping out and administering key processes necessary for ISO9001 compliance.
1. Maintain ISO certification (about 33% of your time)
CAPLINQ HQ is ISO9001 certified since 2022, however we’ve committed to our customers to achieve a multi-site certification by 2026.
Examples of activities:
- Conduct a gap analysis of existing processes according to the ISO9001 standard
- Engage and lead the ISO9001 certification process with 3rd party
- Conduct “Continuous Improvement” processes and internal audits to improve processes and procedures
- Develop, improve and manage Caplinq’s business processes on Mediawiki
- Document and maintain ISO certification for coming years
2. Administer QHSE responsibilities (about 33% of your time)
Serve as the central point of contact for PPAP submissions and non-conformity claim administration.
Examples of activities:
- Communicate with customers and suppliers to resolve quality issues (8D reports)
- Handle new customer’s supplier setup with Caplinq
- Handle Caplinq’s suppliers quality agreements
- Handle PPAP projects (communicate with customer & supplier)
- Handle IMDS requests (communicate with customer & supplier)
- Prepare Caplinq CoA’s
3. Facilitate internal and third-party audits (about 33% of your time)
Examples of activities:
- Complete customer self-assessment checklist
- Handle audit agenda and reports
- Maintain and develop new audit presentations
- Collect required documentation and evidence from relevant stakeholders
- Participate in meetings with internal and external stakeholders
- Administer customer portals
